  • Restroom & Breakroom Fixture Checks: Periodic servicing of sinks, faucets, toilets, and other fixtures for functionality and leak prevention.

  • Miscellaneous Site Tasks: Light-duty repairs or maintenance as requested and feasible within service visit parameters.

Note: Consumables (e.g., bulbs, plumbing parts, filters) must be provided by the client. Proportional Facilities Management Solutions, can assist in identifying or sourcing these upon request.

2. Facility Condition Assessments & Reporting

Structured facility reviews designed to detect risks early and guide preventive maintenance efforts.

  • Visual Inspections: Review of accessible areas (e.g., flooring, ceilings, doors, exterior envelope, safety risks) to identify deficiencies or concerns. No intrusive or destructive evaluations are performed.

  • Condition Reporting: Documentation of findings, maintenance priorities, and health/safety issues—delivered with photo references and recommendations.

  • Predictive Maintenance Insights: Use of assessment data to inform planned maintenance cycles and reduce unplanned disruptions.

  • Note: This assessment is not intended to serve as a structural engineering evaluation or substitute for specialized inspections, such as those required for roofing systems, foundation integrity, or mechanical equipment testing. 5. Inventory & Consumables Management

Support in tracking, ordering, and optimizing the usage of facility consumables.

  • Par-Level Guidance: Establish baseline supply needs based on usage trends and seasonality.

  • Stock Monitoring & Restocking Support: Routine checks and advisory on supply levels.

Client Responsibility: Final ordering decisions, budget adherence, and procurement remain under client control. Proportional Facilities Management Solutions does not hold inventory on behalf of clients.

This service is ideal for businesses that require more than basic maintenance but do not need a full-time, salaried Facilities Manager.

PFM Includes:

    • Recurring Facility Condition Assessments aligned to client needs and facility size, typically delivered monthly, bi-monthly, or quarterly

  • 24/7 Monitoring via Smart Sensors

    • Emergency alerts and remote troubleshooting

  • Facility Program Administration

    • Oversight of janitorial, landscaping, HVAC, and other routine programs

    • Advising on vendor scopes and service performance

  • Remote Troubleshooting & Emergency Coordination

    • Up to 3 hours/month of remote issue resolution

Exclusions:

Limitations: Onsite interventions requested through this channel will be scoped and quoted separately.

8. Emergency Readiness & Response

Proportional Facilities Management Solutions provides emergency support and coordination services to help clients address urgent facility issues and mitigate risk. These services are subject to availability and are not guaranteed at any specific response time.

  • Remote Support: Includes HVAC resets, coordination with fire/life/safety vendors, or guiding on-site personnel through resolution steps.

  • Onsite Support: When necessary and available, personnel may be deployed for issues such as flooding, electrical hazards, or equipment failures.

Pricing Considerations: Support costs vary based on urgency, timing (after-hours), and travel requirements. A defined scope and estimate will be provided prior to deployment whenever possible.
