Suite Readiness: Tour Insurance

A single maintenance issue during a showing can shift the entire conversation from the space to what is wrong with the building. Protect the tour. Protect the deal.

Building condition affects lease economics

A strong prospect came in for a tour. A leak above a ceiling tile had ruptured. The owner's team had noticed the stained tile on a prior showing, but it did not seem urgent. By the next tour, the damage had spread. The prospect's attention shifted immediately from the space to everything else that looked off. They passed. "They are not keeping up with the building."

That deal was lost over something a 2-hour pre-tour walkthrough likely would have surfaced.

Suite Readiness is not a formal assessment. It is a targeted walkthrough, scheduled before high-value tours, designed to identify and resolve the visible maintenance issues that erode prospect confidence. The things that shift a showing from "when can we move in" to "what else is wrong."

Who this is for

Leasing brokers with active tours

You have a strong prospect scheduled. The showing needs to be about the space, not about deferred maintenance. Suite Readiness increases the likelihood that visible maintenance issues are addressed before the showing, keeping the conversation focused on the space.

Property managers preparing for lease-up

Vacant suites deteriorate between tours. HVAC sits idle, ceiling tiles shift, dust accumulates. A pre-tour walkthrough increases the likelihood that visible issues are identified and addressed, helping keep the space presentation-ready.

Ownership groups preparing for disposition or refinancing

Buyers and lenders tour with a critical eye. Every visible maintenance issue becomes a negotiation lever. Suite Readiness addresses the visible maintenance items that commonly become objections during buyer or lender walkthroughs.

What the walkthrough covers

  • Lighting: fixture operation checked, flickering or burned-out bulbs identified and flagged
  • Plumbing: faucets, drains, and supply lines checked for leaks or low pressure
  • Ceiling tiles: stains, sag, missing tiles identified and addressed
  • Flooring: tripping hazards, stains, damaged carpet or tile flagged
  • HVAC: airflow checked, thermostat responsiveness observed, unusual noise or odor noted if present
  • Door hardware: latches, closers, hinges tested for proper function
  • Windows: locks, seals, and visible damage checked
  • Visible leaks or staining: any sign of active or recent water intrusion flagged

This is a walkthrough service. It does not produce a formal report and does not constitute a Facility Condition Assessment. Consumable replacements (bulbs, filters, batteries) are the client's responsibility. Proportional FM will identify and flag items that need replacement.

Frequently asked questions

What is Suite Readiness (Tour Insurance)?

Suite Readiness is a pre-showing inspection and remediation service. Proportional FM walks the suite 2 or more days before a scheduled tour, identifies and addresses visible maintenance issues, and confirms the space is tour-ready. It is not a formal assessment. It is a walkthrough service designed to protect the showing.

How much does Suite Readiness cost?

Suite Readiness is priced per visit with a 2-hour minimum. Exact pricing depends on suite size, access requirements, and whether the engagement is a one-off visit or a recurring leasing schedule through a retainer arrangement. Contact Proportional FM for a specific proposal.

What does a Suite Readiness visit cover?

The walkthrough covers lighting, plumbing, ceiling tiles, flooring, HVAC airflow, door hardware, windows, and any visible leaks or staining. Issues are either resolved on-site or immediately escalated to the appropriate trade.

How far in advance should Suite Readiness be scheduled?

Suite Readiness visits should be scheduled at least 2 days before the tour. This allows time for on-site remediation or vendor escalation if a finding requires a licensed trade.

What is the difference between Suite Readiness and a Facility Condition Assessment?

Suite Readiness is a walkthrough service focused on tour preparation. It does not produce a formal report. A Facility Condition Assessment (FCA) is a structured, photo-documented evaluation of every accessible system in the building, delivered as an ownership-facing report with prioritized findings. FCAs are priced per square foot across four cadence options, confirmed in a written proposal after a brief scope conversation.
