How vendor coordination works
Proportional FM manages vendor relationships on behalf of commercial property owners. We coordinate scheduling, verify work, document outcomes, and maintain the property record. Vendors in our network are engaged based on trade fit, performance history, and alignment with the standards below.
We do not operate a bid marketplace. We build a curated network of trade partners who perform consistently, communicate clearly, and document their work. Repeat engagement is the result of demonstrated reliability, not pricing alone.

What we require
These are baseline requirements for all vendors in the Proportional FM network. Specific engagements may include additional requirements based on property type and scope.
Licensing
Active state or local trade license where required by Texas law for the work performed. Proportional FM verifies licensing status before engagement.
Insurance
General liability insurance with minimum $1M per occurrence. Workers' compensation as required by Texas law. Additional insured endorsement naming the property owner or Proportional FM as required per engagement.
Documentation
Willingness to provide before-and-after photos, completion confirmation, and written scope acknowledgment for every job. Proportional FM documents all vendor activity in the property record.
Response standards
Acknowledgment of service requests within 4 business hours. Estimated arrival or scheduling confirmation within 24 hours. Emergency response capability is valued but not required for all trades.
Invoicing
Itemized invoices referencing the approved scope. No work performed outside the authorized scope without prior written approval from Proportional FM or the property owner.
Professionalism
Clean, identifiable personnel onsite. Respect for occupied spaces and tenant operations. Adherence to property-specific access requirements and hours of operation.
What to expect as a Proportional FM vendor
- 01Proportional FM coordinates all vendor activity. Direct contact with the property owner or tenant happens only with prior authorization.
- 02Scope is defined and approved in writing before work begins. No scope expansion without written approval.
- 03Work is verified onsite or through photo documentation. Invoice payment is tied to verified completion.
- 04Proportional FM maintains a continuous property record. Vendor performance, response times, and work quality are documented.
- 05Preferred vendor status is earned through consistent performance, not volume guarantees. Proportional FM does not guarantee minimum spend.
- 06Long-term relationships are prioritized over lowest bid. Vendors who document well, communicate clearly, and deliver consistently get repeat work.
